It runs alongside what you already have.
Vabumi is not a replacement for your PMS, and it does not ask your housekeepers to install anything. It sits beside the systems you run today and stays in step with them — and it is honest about which connectors are live and which are not.
Opera Cloud live
Adapter-based; Host and Mews next.
No app for floor staff
WhatsApp and QR cover them.
Roadmap labelled as roadmap
We do not sell it as shipped.
What today looks like without it
- A rollout that stalls because it needs every member of staff to download an app and remember a password.
- Room status kept in step by somebody walking between two screens.
- An operations tool that cannot answer a question from your BI stack because nothing comes out of it.
What it does
PMS — live, two-way, in the background
Opera Cloud is live today: Vabumi reads occupancy and checkout to drive the day’s cleaning, and writes clean status back on inspection. Host and Mews are next. The layer is adapter-based, so a new PMS is one connector rather than a rewrite, and a CSV/file-drop bridge covers go-live while an API connector is built.
WhatsApp — no app, no login
Delivered through Twilio’s WhatsApp Business Platform, a Meta-approved provider. Staff send a text or a voice note; transcription auto-detects across 90+ languages and Vabumi turns it into a structured task. Invitations and onboarding messages go out the same way.
QR shortcuts — the building as the interface
Action codes open a specific routine step; spatial codes open today’s work for a place, with “report a problem” pre-filled with the location. Export as a printable A4 grid or as PNGs for digital placement.
Calendar — ICS, live
Routine occurrences, task due dates, shifts and absences as an RFC 5545 feed you subscribe to from any standard calendar client. Live today, no configuration.
Identity — email, magic link, and SSO next
Email and password plus magic-link sign-in are live. Google Workspace and Microsoft 365 SSO are on the roadmap — tell us before go-live if you need it and we will prioritise it. SAML and SCIM provisioning are scoped separately.
API, webhooks and workforce tools
An organisation-scoped REST key for read access is available now, with write enabled per integration. Outbound webhooks on task and routine events are on the roadmap; scheduled CSV/JSON exports cover the gap. A Tidsbanken connector is scoped, and other rota systems import shifts and absences by API or CSV.
What we need from your IT team
- 01
Almost nothing, and not on day one
Floor plans, an asset list if you have one, and photos help us build the model. Everything technical waits for the setup call.
- 02
Credentials only where they earn their keep
PMS API credentials with read/write on room status, but only if you are activating housekeeping. SSO configuration only if you need SSO. A WhatsApp Business number per property, or one with routing — we help you arrange it.
- 03
We do the build
Vabumi constructs the spatial model, pre-configures the routines, and sets up the integrations. Your team’s total time is measured in hours, not weeks.
See it on your own building.
A short call, then a walkthrough on a model of a property like yours. If it is not a fit we will say so — we are a small team and we would rather spend the hour on the right hotels.
