Vabumi Hospitality

Every team, the same hotel.

Vabumi Hospitality is a live model of your hotel that every team works on. Every room, task and check sits on the place it belongs to, and nothing lives in a side channel.

The Vabumi Hotel seen from the garden side: four storeys under a dark roof with a roof bar, and planted roofs on both wings.

What it is

One model of your hotel. Every team works on it.

Housekeeping, maintenance, the front desk and management open the same hotel, each from where they work. Your PMS stays beside it.

The Vabumi Hotel drawn see-through, with the day's work marked on its storeys: checks that passed, tasks that are open, and one card that reads Back-bar fridge, too warm, Maintenance, from the cold-storage run.

The model of your hotel

Every floor, room and thing in it, built by us. Your team signs in to a hotel that is already there.

Who works on it

  • HousekeepingOn a phone

The day's rooms, and each room's list.

  • MaintenanceOn a phone, and on WhatsApp

Work arrives addressed to the team. One member takes it.

  • The front deskAt a desk

Reads which arriving rooms are ready.

  • ManagementAt a desk

The whole hotel, and today's work on it.

Your PMS

Your PMS keeps the guest and the booking. Vabumi keeps the building. Room status moves both ways between them, and we fit Vabumi to the PMS you use.

See your whole hotel

Open Home, and the hotel is there.

Friday, just after three at the Vabumi Hotel. Twenty-two arrivals, two rooms still to clean. Rooms 209 and 309 out of order. What needs someone now, and who is on shift.

The model, beside your work
Show the model beside the page you are on. Today's tasks and runs are marked on it, each on its place. Click a room, and its record opens.
A room's record
Its status, today's clean and who has it, its open tasks, and what was done there.
The calendar and Insights
One calendar for routine runs, tasks, shifts and who is away. Insights shows what was reported twice at the same place, and the routines that are slipping.

What it does for each team

Three areas of work, one hotel.

  • Floor 2 of the Vabumi Hotel, seen from above with its roof off, each room in its housekeeping colour: clean rooms green, inspected rooms blue, one room still dirty in red, and Room 209 grey, labelled out of order.

    Housekeeping

From checkout to ready, and the front desk knows.

Every room has one status, and housekeeping, the front desk and the manager all read the same one. Nobody phones the floor to ask.

    Housekeeping

  • The Basement of the Vabumi Hotel, seen from above with the floors over it lifted away. The Laundry is tinted, and a card on it reads: Washer 2 stopped with a full load, Maintenance.

    Maintenance

Problems reach the team that fixes them.

Whoever finds a problem reports it on the spot, in their own language. It becomes a task on the place, for the team whose job it is.

    Routines & compliance

    Done, and provable.

Every check your hotel makes is there when it is due, and judged as it is entered. The finished run is sealed, and a correction sits beside the original.

For the people on the floor

Your team reports from the phone they already carry.

Nothing to install. A WhatsApp message becomes a task, and the app is a page in a browser.

A WhatsApp text
A few words: what is wrong, and where.
A voice note
Spoken in the speaker's own language, written down, and made a task with the voice note attached.
A photo and a few words
The words say what is wrong and where. The photo goes on the task.
A code on the thing
Scan it: what is due there, its open tasks, and a report on that thing.
Each in their own language
Six languages in the app. Each person reads a task in their own.

Maintenance

Records that hold

Done, and on the record.

A task keeps who closed it, and when. A finished run of a regulated routine is sealed, and a correction is an amendment beside the original.

On the place
Open a room or a thing: its open tasks, and what was done there.
Kept, out of due
Each routine shows how many runs were kept out of those due. A run nobody did shows as missed, and it stays.
Take it out
Export the register for a routine and a period.

Getting started

How a hotel starts.

Four steps, and who does each.

  1. 01We

    We build your model

Every floor, room and thing in it. Your team signs in to a hotel that is already there.

  2. 02We

    We connect your PMS

We fit Vabumi to the PMS you use and match its rooms to your model. A hotel with no PMS link runs too.

  3. 03You

    You name your teams

Each Team gets one sentence on what it is for. That sentence is how new work reaches the team it belongs to. Then you invite your people, by email or on WhatsApp.

  4. 04Your staff

    Your staff report

From the phone they already carry, on WhatsApp, from the number on their profile.

  • Every processor named

The Security page names each company that processes data for Vabumi, what for, and where. Some processing happens in the United States.

  • One login for all your properties

Move between your hotels from one sign-in. Each hotel has its own model, teams and records.

Questions

What the person who runs the hotel asks before a demo.

Does it replace our PMS?

No. Your PMS keeps the guest and the booking. Vabumi keeps the building: the rooms' work, the repairs and the checks.

Will it stay in step with our PMS?

Room status moves both ways. A room done in Vabumi goes to your PMS; a room your PMS changes shows in Vabumi. We fit Vabumi to the PMS you use, and the demo request asks which one.

Will my team use it?

Staff report on WhatsApp, from the phone they already carry. The app is a page in a browser, with nothing to install, and each person chooses their own language.

Which languages can my team work in?

Six: English, Norwegian, German, Spanish, Portuguese and Polish. Each person reads a task in their own. A routine's checks and a checklist's steps are in the language you write them in.

What do you need from us to start?

Which PMS you use, your teams and what each is for, and your people's email addresses or phone numbers. We build the model and connect the PMS.

What if we have no PMS link?

Vabumi runs without one. A manager ticks the rooms leaving, and Vabumi plans their turnovers.

Do outside contractors need a login?

No. A contractor is a contact on the task. Your technician calls them, and their work stays on the contact.

I run several hotels.

One login for all your properties. You move between them; each has its own model, teams and records.

What does it cost?

We go through it with you in the demo.
