A hotel runs on a hundred small pieces of knowledge that live in the wrong places: a clipboard on a trolley, a group chat nobody reads back, and the supervisor who has been there eleven years. When a shift ends, most of it evaporates.

Vabumi is the operations layer for everything inside the building. Work is captured however it actually happens — a voice note, a WhatsApp message, a scanned code on a door — placed on a shared model of the property, routed to the right person, and closed with proof. Your PMS keeps the guest. We keep the building.

Who we are

Vabumi OÜ is registered in Estonia and built by a small, fully remote team spread across Europe. We are deliberately small: it means the person who demos the product is the person who changes it, and a request from a hotel on Tuesday can be in the product rather than in a backlog.

We build AI-native from the ground up rather than bolting a chat box onto a conventional work-order tool. That shows up in unglamorous places — a voice note in Portuguese becoming a structured, located, assigned task in a few seconds — and it is the only reason a system like this can be run by people who never open a laptop at work.

We also build custom for smaller groups. You tell us how you want to work and we shape Vabumi around it, rather than handing you a configuration screen and wishing you luck.

What we build on

The building is the model.

Your PMS knows the guest. Almost nothing knows the building. In Vabumi every site, floor, room, surface and piece of equipment is a node in one spatial graph, and every task, routine, photo and vendor assignment hangs off it. That is why the history of a fryer is the history of that fryer, and not a search through eight months of chat.

Meet staff where they already are.

A tool that needs every housekeeper to install an app, remember a password and sit through a training day does not get adopted — it gets worked around. Floor staff use Vabumi through WhatsApp and printed QR codes, in their own language, with no login. There is no formal training session because there is nothing to train.

Quiet AI.

AI does the work nobody wants: transcribing a voice note, detecting the language, translating it, structuring it into a task, suggesting who should take it. It does not sit in front of the user demanding to be prompted, and every AI-assisted step has a manual fallback. If a model is having a bad day, the operation still runs.

Proof over promises.

Work closes with a photo, a timestamp and a name, on a record that outlives the shift. That is not a compliance feature bolted on at the end — it is the same record the operation runs on, which is the only reason it is complete.

Small groups deserve better than enterprise leftovers.

Independent houses and groups of two to ten properties get priced out of the enterprise systems and underserved by generic task apps that know nothing about a hotel. That gap is who we build for, and it is why the pricing is one predictable number for the whole group rather than a per-module quote.

Say what is shipped and what is not.

Our own product pages label roadmap items as roadmap, our status page admits we have no formal uptime SLA yet, and our sub-processor list names every processor that touches your data. Trust is easier to keep than to rebuild.
