Scheduling

The rota follows the work, within your country's law.

Plan the week from what the hotel needs, see what each change breaks before it lands, and send approved hours to payroll. Your staff see their shifts, hours and holiday on their phone.

The day

A day on the rota, hour by hour.

At the Vabumi Hotel, from the planner's side.

  4. 06:55A colleague takes the shift
  5. ↳ at onceThe rooms and the checks go with it
  6. 09:30Three more departures come in from the booking system
  7. ↳ at onceHousekeeping shows "1 short" on today's rota
  8. 10:00The manager asks the Vabumi agent to move a spa shift
  9. ↳ before the pressThe card shows what the change would break
  10. 14:00A team lead stretches a shift past what the law allows
  11. ↳ at onceThe rota names the rule and asks why
  12. 15:30The attendant clocks out, and the time is matched to the plan

After the day

Monday. Last week's hours are approved in one press. Two days are marked for a look: a late start and a forgotten clock-out.

The month's end. The payroll basis is locked and downloaded for payroll.

Who does what

The planner

Plans the week as a draft only planners see, sees what each change breaks, publishes it. Approves the hours. Has the Vabumi agent draft shift moves and swaps, and asks it who works when.

A team's lead

Plans their own team's rota, and no other.

Each person on staff

Their week, their hours and their holiday left, on their phone, in the browser. Clocks in and out, reports sick, asks for a swap, takes an open shift, gives holiday wishes.

Payroll

Locks the period, downloads the payroll basis, and unlocks it with a reason when a correction comes late.

The manager's screen

This is the week, team by team.

People › Week. Each team's day, planned against what it needs, with a broken rule shown where it happens.

The details that matter

Your country's law, checked on every change
Rest between shifts, hours per day and week, overtime, Sundays and nights, breaks, and the limits for young workers. At the Vabumi Hotel, that is Norway's Working Environment Act.
You set what the law leaves open
The week's first day, when the overtime year starts, who counts as a night worker. Until you set it, Vabumi uses the strictest reading and says so.
A time record that cannot be rewritten
The time of a clocking is Vabumi's, not the phone's. A correction sits beside it, with who made it and why.
Your data comes across
Your staff, their holiday balances and their time accounts come across from the records you keep today.
Written agreements
Shorter rest, averaging, more overtime: each recorded with its reference, each changing the limit it allows.
Qualifications
Night porter, food hygiene. A shift that needs one shows when it goes to someone without it.
A fair spread
Weekend, night and holiday shifts counted per person, for the planner and for each person about themselves. A count, never a score.
The time account
Extra hours banked by agreement, taken as time off or paid out.
Holiday wishes
Each person ranks three choices; Vabumi proposes an allocation that keeps the hotel staffed; the planner adjusts and publishes.
Swaps and open shifts
The rules are checked first, then a manager approves.
Shifts in your own calendar
Each person's shifts in their phone's calendar.
Planned by hand
Anyone can ask that the agent never plans their shifts.
Health stays private
Why someone is away is seen only by those entitled to see it.

Questions

Do our staff records come across?
Yes. Your staff, their holiday balances and their history come across once, from the records you keep today.
Does Vabumi plan the rota for us?
It drafts the period from what the hotel needs, the law, each person's contract and their wishes. You change what you like. Nothing is published without you.
Does Vabumi pay wages?
No. It prepares the payroll basis: approved hours, supplements, and absences with their pay codes, ready for your payroll.
Can staff clock in on their phone?
Yes, in the browser. The time is matched to the plan.
Which country's law does it check?
Yours. Vabumi is set up for the working-time and leave rules of the country your hotel is in. The Vabumi Hotel, in Norway, runs on Norway's Working Environment Act.
