Maintenance

Problems reach the team that fixes them.

A report from anyone, a finding from a checklist, or a reading from a sensor becomes a task on the thing that is broken, for the team whose job it is. Robots and contractors take their share.

The day

Two everyday repairs, hour by hour.

At the Vabumi Hotel, from the maintenance team's side.

  1. 09:15A guest tells the front desk that 212's shower drains slowly
  2. 09:16The front desk reports it from a phone: the room, the shower in its bathroom, and what is wrong
  3. ↳ at onceA task on 212's shower, for Maintenance
  4. 09:20A technician takes it
  5. 09:30It needs a plumber, so the contractor goes on the task, with no account
  6. 11:25Room 311's hair dryer arrives from Housekeeping, with the attendant's photo
  7. 13:05A technician swaps the hair dryer and closes the task with a photo
  8. 15:10The plumber clears 212's drain, and the task is closed with a photo

Later that week

The shower's record in 212 shows what was done to it, and when.

Who does what

The head of maintenance

Sees the open work by who has it, with what nobody has taken first, and gives it out. Has the Vabumi agent draft the change when a task should move, and asks it what is open in the plant room.

Technicians

Take a task, fix it, and close it with a photo, on their phone.

Anyone who finds a problem

Reports it in the app, from the sticker where they stand, or by WhatsApp with a text, a voice note or a photo, in their own language.

Contractors

Are put on the task they are needed for. They need no account.

Sensors and robots

A sensor's reading sends a robot for the cleaning, and the repair to you.

The manager's screen

This is where the open work sits.

Tasks, by who has it, beside the model, each task on its place.

The details that matter

Every way in
The app, a sticker on the wall, WhatsApp, and for managers the Vabumi agent. Each lands as the same kind of task.
Each in their own language
Vabumi speaks six languages, so each person reports and works in theirs.
The team whose job it is
New work goes to the team it belongs to, and shows as "Nobody has it" until someone takes it.
Contractors
Put an outside firm on a task. They need no account.
On the thing, not the room number
A task sits on the hair dryer, the shower, the ice maker, so its history stays with it.
Found again
The same fault found again on the same thing joins the open task instead of making a new one.
One task, many places
A job across sixteen rooms is one task with a row per room.
Findings come to you
Not OK on a room's checklist, and a check out of its limits, arrive as tasks on the thing.
Sensors find problems too
A leak sends a robot to the floor and a repair to Maintenance.
What was done there
Each place and thing shows the work done on it lately.
Photos at both ends
A photo with the report, a photo when it is closed.

Questions

Does every member of staff need the app to report?
No. Staff can report by WhatsApp from the number on their profile, or from a sticker where they stand.
What if a report does not say where?
Vabumi asks where, before the task is made.
Do contractors need an account?
No. They are put on the task they are needed for.
Can we see what was done to a machine before?
Yes. Each thing keeps the work done on it.
Who decides which team gets what?
You do. New work goes to the team whose job it is, and a manager can give it to someone else.
